Verbatim Coding is a valuable way to organize responses to open-ended questions. By labeling and categorizing insightful comments from respondents using codes, you can save time by efficiently identifying common themes within your data set.
1. Accessing Verbatim Coding
- From the Stats page, click the Verbatim icon below the header, or on the right side of a question header.
- Click the Coding icon in the left menu.
2. Creating Codes
There are multiple ways to create and add codes to open-ended questions. First, build out your code list by creating a codebook and adding codes within the codebook.
With the Verbatim Coding pane open in the left menu:
- Click Add a new codebook.
- Type in the overarching category, and click OK or the enter key.
- Click Add a new code, with the new codebook open.
- Type or paste the code name, and hit the enter key or click OK. Codes can now be added to any verbatim response within the stats page.
Note: If you’d like to create multiple codes at once, you can copy and paste multiple lines from another text field or document, and codes will populate the codebook accordingly.
Add codes to individual responses:
With the Verbatim Coding pane open in the left menu:
- Click add a code within any given response.
- Type the label for your code.
- Click Create or enter, and your code will populate as a list containing both the name of the code and number of times it has been assigned to a comment.
Note: When you create a code without first creating a Codebook to hold the code, the system will automatically create one for you called Default Codebook. Click the folder to expand or hide the verbatim codes within each codebook folder.
Finally, once a verbatim codebook has been created, you can add codes by dragging and dropping.
To code a single response:
- Click, drag, and drop a code onto an individual response on the screen.
To bulk-add codes to multiple responses:
- Type keywords into the search bar, and hit enter to search for comments with your parameters.
- With the filtered results in place, drag the code from the codebook to the filter menu at the top of the page.
- Click the appropriate button to add to all comments on this page, or all comments found.
3. Managing Codebooks and Codes
Managing codebooks:
- Click the gear button to the right of a Codebook.
- Select the appropriate option to Rename the codebook, Clone codebook, Copy codebook structure, or Delete codebook and codes from all reports.
Managing codes:
- Click the gear button to the right of an individual code.
- Select the appropriate option to Remove the code from the comments on the page, Rename the code, Assign to multiple comments, or Delete the code from all reports.
- Hover over a code and click the X to delete an individual code.
- Drag and drop codes into other Codebooks to reassign a code to another codebook.
4. Toggle Codes On / Off
- Click on the code icon in the search tool bar. This allows you to modify how the page is viewed depending on your preference.
5. Exporting Verbatim Responses
There are two ways to download verbatim responses, along with their Codebook and Codes: By individual questions or for the entire survey.
To export by individual questions:
- Scroll an open-ended question from your quant report.
- Click the Export icon and a drop-down menu will appear.
- Select the desired report:
- Download all verbatim (CSV)
- Download all verbatim with codes (CSV)
To export verbatims for the entire survey:
- Open the Verbatim page of your stats page.
- Click the Export icon in the left menu to open the Export Comments pane. From here you can can select any desired export.
Note: To export verbatim responses along with their codebook and codes, select Excel Coded Maps, Raw CSV, and Excel RAW.
