The Manage Users page gives account administrators one place to view and manage everyone on the account, across every team. Here, you can review each person’s status, team access, budgets, and surveys; invite new users; and manage individual users by changing roles, transferring surveys, suspending access, or deactivating them.
Bulk import and export options are covered in a separate article, linked at the end.

Who Can Access the Page
Manage users is available to account administrators on multi-team accounts. To open it, click ACCOUNT in the top navigation and select Manage users, or click Manage users in the left sidebar.
💡 Tip: aytm has three related admin areas, and they're easy to mix up. The Team (or Teams) page manages the people inside one team—it's labeled Team when you can reach a single team and Teams when you can reach more than one. Manage teams manages the teams themselves—creating, renaming, and removing them. Manage users (covered here) manages everyone on the account at once.
⚠️ Note: If you don't administer a multi-team account, you won't see the Manage users entry. Single-team accounts manage their people on the Team page instead.
Reading the User Table
A sub-header at the top reads "You have {N} users in {M} teams", counting everyone on the account regardless of any filters you've applied. Each row in the table shows one user:
| Column | What it shows |
|---|---|
| User name | Profile photo and name. Account admins show a star next to the name. |
| The user's email address. | |
| Status | A colored dot and label for the user's current status (see below). |
| Last active | When the user was last active, or a dash if never. |
| Spend | The user's total spend. |
| Teams | Number of teams the user belongs to. |
| Budgets | Number of budgets the user can access. |
| Surveys | Draft and total survey counts, shown as draft / total. |
| Manage | A gear icon that opens the per-user actions menu. |
Use the Per page selector (25, 50, or 100) and the page arrows to move through the list.
User Statuses
Each user has a single account-level status, shown as a colored dot in the Status column.
| Status | Meaning |
|---|---|
| Active | The user has an activated account and can use the platform normally. |
| Invited | An invitation has been sent and the user hasn't activated their account yet. |
| Declined | The user declined the invitation. |
| Suspended | Access is temporarily blocked. Their data stays intact, ready to resume when reactivated. |
| Deactivated | The user's relationship with the account is closed. Reversible with Restore. |
Finding Users: Filters, Search, and Sorting
Use the controls above the table to narrow the list. Active filters appear as removable labels; click a label's X to clear it, or Clear filters to reset everything.
- Search—matches by name or email as you type.
- Status / Admin—filter by one or more statuses (active, invited, declined, suspended, deactivated) and by account-admin (Yes / No).
- Teams—filter to users on selected teams, with a Select all / Unselect all option.
- Last active—filter by a date range using the calendar picker. The end date includes the whole day, so a user active any time on that date is included.
Click any sortable column header to sort by it; click again to reverse the direction. Changing a filter, search, or sort returns you to the first page.
Inviting a New User
At the bottom of the table, click + Invite new user to open an inline form.
- Enter the Email (required), and optionally a First name and Last name.
- Pick a Team, then a Role (the role selector enables once a team is chosen).
- Click Invite.
The form stays open and clears its fields so you can invite several people in a row. The message tells you what happened:
- A brand-new address, or an address already invited to a different team, gets "Invitation sent".
- An existing member added to another team gets "Added to the team".
- Re-inviting someone already on that team with the same role gets "Already in this team with this role".
- Re-inviting someone with a pending invitation to that same team, but a different role, gets "Invitation role updated".
💡 Tip: The invite form offers the Admin and Researcher roles for brand-new users. To make someone a Follower, invite them as a Researcher first, then change their role from Access to team (see below). For what each role can do, see Team Permissions.
Managing an Individual User
Click the gear icon in a user's row to open the Manage menu. The actions available depend on the user's status—for example, a suspended user shows Reactivate access instead of Suspend access, and an invitation that hasn't been accepted shows only Pending invitation. You can't suspend, deactivate, or change the account-admin status of your own row, and the account owner can't be suspended or deactivated at all.
⚠️ Note: Access to budgets only appears when there's something to grant or revoke. If a user holds no budget and isn't eligible for any, the item is hidden—this is always the case for a deactivated user.
| Action | What it does |
|---|---|
| Access to team | Add the user to a team, change their role (Admin / Researcher / Follower), or remove them from a team. |
| Access to budgets | Grant or revoke the user's access to specific budgets, one team at a time. |
| Transfer surveys | Reassign selected surveys from this user to another active user. |
| Assign / Remove Account admin | Grant or revoke account-admin rights. |
| Suspend / Reactivate access | Temporarily block, or restore, the user's access to the account. |
| Deactivate user / Restore | Close out, or reopen, the user's relationship with the account. |
| Pending invitation | Resend an invitation to an invited or declined user. |
Resending an Invitation
Open Pending invitation to see when the invitation was last sent and to resend it. Resending is limited to once per hour per user—while the cooldown is active, the button shows how many minutes remain.
⚠️ Note: Suspending, reactivating, deactivating, and restoring a user do not send them an email. The only emails this page sends are invitations.
Suspending vs. Deactivating
Both actions block a user's access to the account, and both are reversible—but they're meant for different situations.
- Suspend is a temporary block—for example, while someone is on leave. Everything they have (teams, roles, budgets, surveys) stays intact, and Reactivate access restores it exactly as it was.
Suspended users land on a page telling them their access was temporarily suspended by an account admin, with the admins' names and emails so they can follow up, and an option to create a separate personal account on aytm instead.
- Deactivate is a close-out for someone leaving the account. In one step it removes their team roles, account-admin status, budget access, and shared payment-card access, and cancels any pending invitations—their surveys are the only thing left with them (you can optionally hand all of them to a colleague as part of deactivating). Restore lifts the block and nothing else: the person comes back as an ordinary account member with no teams, roles, or budgets.
Deactivated users land on a page telling them they're not currently on a team—they can't view, create, edit, or launch them until they're added to a team.
⚠️ Note: Restore does not give back what deactivating removed. You re-add those from Access to team and Access to budgets, in that order—teams and roles first, since budget access depends on having a role on the team. Suspending, by contrast, leaves everything untouched.
To move surveys without deactivating, use Transfer surveys: pick the person to receive them, choose which surveys to move, and confirm. This works for any user who still owns surveys, including a deactivated one.
💡 Tip: If a deactivated user still owns surveys, their name shows a small " · Deactivated" label wherever it appears in survey lists on your dashboard—so it's clear at a glance who's no longer active on the account.
